Rentvine Work Order Integration

Step-by-step walkthrough of how to leverage your integration with Rentvine to create work orders.

Work orders are an integral part of the property management process. We want to make sure our Rentvine-integrated users know how to easily create work orders and make the most out of their integration!

How do I enable work orders with Rentvine?

  1. In your Rentvine data sync settings, please ensure the "Work Order Sync" is turned ON.

  2. Next, make sure to

    1. Set a default work order category - This category will be set by default when flagging an item for maintenance but can be updated as needed. The choices here will be coming from the maintenance categories in Rentvine.

    2. Set the default work order status for new work orders created in Rentvine - The statuses here will be coming from Rentvine.

  3. Once you’ve made the above changes click “Save” in the top right.

Do I create work orders via mobile or via the web app?

Work orders can be created via both the mobile app and the web app.

How do I create work orders via the web app?

To create a Rentvine work order from the RentCheck web app, follow these steps:

  1. Open an inspection with a status of "Completed", "Awaiting Review", “Revision Review”, “Approved”, or “In Review”.

  2. Click "View X flags.


  3. From the Flags page, find the "Create" button and select "Create Rentvine Work Order" from the dropdown. Note that this will bundle all of the flags to their respective work orders and bulk create work orders.

  4. The next popup will lead you to the details of the work order(s) to be created. Review these details.

5. If you'd like to review the flag details that will be used to create the work order in Rentvine, select on the eye icon next to the flag.

6. This will re-open the flag you initially created. To see which pictures will be sent to Rentvine, select "Attach Media". You can select on the flag icon if you'd like to remove the picture from being sent in the work order.

7. If everything looks good, select the "X" at the top of the flag details pop-up and return to the work order. Click "Create" to send your work order to Rentvine. Work orders are automatically created in Rentvine.

NB: If you would only like to create a work order in Rentvine for only one flag or a subset of flags, you can select the flagged items using the checkbox in the left hand side and repeat the steps above.

How do I create a work order via the mobile app?

Work orders can now be created in one go at the end of your inspection on the mobile app.

  1. Flag items for maintenance using the “Flag for Maintenance” tool and select "Save".


  2. Once complete with your inspection, press "Submit" and wait for the inspection to upload on the upload screen. A new window will popup prompting you to "Create a Work Order" based on the flags you created during the inspection.


  3. Click on the eye icon to re-open the flag. You can edit the Notes and add Internal Notes for you and your team. You can also see which pictures will be attached/sent in the work order to your PMS by selecting "Attach Media" and viewing the dropdown.

  4. Once everything looks correct, select "Create".
