As a property manager, it is critical to keep the team organized and ensure everyone has access to the information they need. With Permission Groups, you have the power to fine-tune just that—quickly, easily, and securely.
What are Permission Groups?
Permission Groups are customizable sets of access that you can assign to your team members. Think of them as VIP passes, each granting different levels of backstage access to your RentCheck account.
With Permission Groups, you can:
Control who can create and view different types of inspections (more permissions coming soon)
Easily update permissions for multiple users at once
Enhance data security by ensuring team members only access what they need
How to Get Started with Permission Groups
Ready to dive in? Here's how to set up your first Permission Group:
Navigate to Teammates > Permission Groups.
Click "Add Permission Group".
Name your group and select the template access you want to grant.
Assign to team members and hit create.
Permission Groups in Action
Say you're managing a portfolio of 500 units across multiple properties. You've got different members/teams handling various types of inspections: move-in/move-out, quarterly maintenance, and annual property assessments.
With Permission Groups, you can create a "Maintenance Inspectors" group and assign all your maintenance staff to it. Then, you'd give this group access only to the quarterly maintenance inspection templates and reports. Now, whenever you add a new maintenance team member, you can simply assign them to this group, and they'll have exactly the access they need - no more, no less.
Permission Groups vs. Teams: How They Work Together
Think of Teams as a way to organize and manage access to properties within your portfolio, while Permission Groups enable you to further define user permissions for those properties.
On an inspection template itself, team access determines which properties have access to that template for inspection creation. On the other hand, Permission Groups, for now, allow you to control what kind of inspections can be viewed and created (by inspection template)with more permissions coming soon. For a user to work with a particular inspection template on a property, the property's team needs to have access to the inspection template AND the user needs to be in a Permission Group with access to that inspection template.
Each RentCheck account starts with a default permission group called ‘Standard Permissions’, giving all team members view/create access to all inspection templates until set otherwise.
