Adding Notes to a RentCheck Inspection to Document Property Condition

Learn how to properly document notes during your inspection so they appear in the correct section for your property manager.

When completing your inspection, it’s important to add notes directly within each step rather than waiting until the very end. Adding notes in the right place ensures your property manager sees them immediately and avoids delays or missed details.


Step 1: Open the section you want to document

Each step of the inspection covers a specific part of the property (for example, Living Room Walls or Kitchen Appliances). Notes should always be added within the feature they belong to:


Step 2: Use the Write a note field

At the bottom of each feature screen, you’ll see a Write a note field. Use this to document the condition of that area.

  • Example: “Small crack in the top corner near the window.”

  • Keep your note short, clear, and specific.

Step 3: Continue to the next step

Once you’ve added your note, tap Save to move forward. Repeat this process for each section of the inspection until it’s complete:

💡 Note: The same steps apply whether you’re completing a new inspection or reviewing an inspection shared with you by your property manager for sign-off.

  • Notes placed at the end may go unnoticed. When all comments are added at the very end, they can be harder for property managers to connect to the correct feature.

  • Notes tied to each feature appear in the right place. Adding your note within the step ensures it shows up directly under that feature (e.g., walls, ceilings, appliances), making it easier to review.

  • Keeps your inspection organized. Breaking notes up by section creates a clear, room-by-room record of the property.

  • Helps property managers respond faster. When issues are documented clearly and in the right spot, property managers can resolve them more quickly without needing follow-up questions.

  • Creates a stronger record for you. Notes paired with the correct feature (and photos) provide a reliable record of the property’s condition at the time of inspection.


Tips for Writing Notes

  • Focus on useful details. Point out specific issues, like “scuff marks on lower wall” or “loose cabinet handle,” instead of general comments like “damaged.”

  • Describe what you see. Keep your notes clear and neutral (e.g., “crack in tile near sink” rather than “tile is old”).

  • Be specific about location. Mention exactly where the issue is, such as “top right corner of window frame.”

  • Keep notes factual and relevant. Avoid personal opinions or unrelated details so your inspection stays clear and easy to review.

A: Your property manager may not see them in the right context. Go back and add notes to each section before submitting.

A: Yes, you can return to any step and update your notes until you’ve submitted the inspection.
