Create an Custom Template from Scratch

To create a custom template from scratch:

  1. Navigate to Account.

  2. Select Inspection Templates.

  3. Select Create.

  4. Choose between Unit Inspection Template, Building Inspection Template, and Community Inspection Template.

  5. Select Start from scratch

  6. Click the 3-dot menu on the right side of the template header.

  7. Select Copy Template.

A window will appear prompting you to enter the initial template details.

Template Details

  • External Inspection Template Name

    This is the name visible to residents and others invited to complete inspections.

  • Internal Inspection Template Name

    This is an internal label visible only to you and your team. It will appear alongside the external name in the RentCheck desktop version. Use this field to differentiate between templates with similar external names, helping your team create, review, and report on inspections. This field will not be visible to residents or others performing inspections.

  • Inspection Template Description

    Write a description to help your team understand when and how the template should be used. This description will appear when selecting a template for inspections.

  • Inspection Template Type

    Choose the property type: Unit, Building, or Community. When creating a template from scratch, you'll need to set this field. If you're copying a template, this field will be pre-filled and uneditable.

  • Inspection Template Access

    Select which teams should have access to this custom template. If a team has access to a template, then its members will see the template and be able to select it when creating inspections in RentCheck. Team members who do not have access will not be able to create inspections from the template.

  • Assign Permission Groups

    Select which permission groups should have access to this custom template. If a permission group has access to a template, then its members will see the template and be able to select it when creating inspections in RentCheck. Team members who are not in this permission group will not be able to create inspections from the template.

  • More Options

    Add company contact information for residents to use when they have specific requests or questions about an inspection. These contact details will be included in RentCheck inspection invitations and scheduled reminders.

Unit Templates

For unit templates specifically, you’ll need to specify whether the template covers:

  • All rooms and areas of a unit
    This includes all rooms and areas configured in the unit, such as move-in/move-out inspections or routine checks.

  • Enable fast track option
    This option allows users to create quick inspections (10 minutes or less) that focus on room photos, without individual features or questions.

  • Specific features
    This includes only specific features (e.g., air filters, landscaping), which are set by default in the template. These features are selected during inspection creation.
