What Is Inspection Automation?

Inspection Automation allows you to schedule and manage inspection creation around your residents' move-in and move-out dates. Once enabled, RentCheck will automatically create these inspections based on your desired preferences! This ensures:

  • Time savings for your team

  • Standardized workflow

  • Peace of mind that no unit goes uninspected

How to Set Up Automation

Ready to dive in?

  1. Navigate to your Account page > Inspection Automation card.

  1. You'll find two pre-configured automation templates:

  • Move-In Inspection Automation

  • Move-Out Inspection Automation

  1. Click on the automation card to customize it.

  2. Toggle the on/off switch to enable or disable the automation. When enabled, RentCheck will automatically create inspections daily. When disabled, no inspections will be created.

Easy enough? A few things to remember:

  • When enabled, RentCheck creates inspections every day at 10:30 AM CST according to your set rules.

  • These inspections will appear in your list as created by "RentCheck Automation", making them easy to identify.

  • If any errors occur during automated inspection creation, an email will be sent with the details.

What You Can Customize

  1. Automation Name: Choose a clear, descriptive name that helps you and your team identify the automation.

    1. For example, if it covers all units, you might call it “Entire Portfolio Move-Out Verification.” This name is internal only and not displayed to residents.

  2. Property Selection: The properties that you want this automation to run for.

    1. All Units: Covers your entire portfolio automatically, irrespective of teams. The automation dynamically updates when units are added or removed from your portfolio.

    2. Team Units: Select specific teams and apply automation to all their units. The automation dynamically updates when units are added or removed from selected teams.

    3. Specific Units: Handpick the exact units you want covered.

  3. Inspection Template: Choose from any published custom templates or RentCheck default templates based on your property selection (fast track is optional if supported).

    1. Only templates that cover the entire property (all rooms and areas) can be used for automation. Templates requiring specific feature selection, like “Maintenance Check,” aren’t compatible with automation.

  4. Creation Date Rule: Select how many days before or after the Move-In/Move-Out date the inspection will be created.

    1. Example: If you set the rule to “7 days before” and the resident’s move-in date is the 10th, the inspection will be created on the 3rd.

  5. Invite Date Rule: Select how many days after the creation date the invite will be sent. Based on this rule, the inspection invite email will be sent out and the user can start the inspection.

  6. Assignee: You can choose to assign inspections to current residents, future residents, specific teammates, the entire team, or assign manually to email addresses.
