1. Buildium Sync Overview

About the Buildium Integration

RentCheck’s Buildium integration enables a seamless two-way data sync between Buildium and RentCheck. This ensures that your property, unit, and resident information is always up to date in RentCheck while automating your inspection workflows.

Features included with the integration:

  • Accurate unit and resident data within RentCheck. Property and resident data are synced directly from Buildium to RentCheck daily, so your teams are always working with the most current information.

  • Inspection reports are automatically uploaded to Buildium. Inspection PDF reports sync automatically from RentCheck to Buildium twice a day. If you need a report sooner, a manual sync is available. Each PDF attaches to the corresponding property files, unit files, or resident lease files for easy reference

Before You Begin

The Buildium integration is available on the Accelerate Plan (formerly Professional) in RentCheck. If you’re on a lower plan, you can self-upgrade directly from the Integration page in RentCheck.

In Buildium, you will need to be on the Buildium Premium Plan with Buildium API access in order to set up the sync. Learn more about upgrading your Buildium account here.

Step 1: Generate an API Key in Buildium

RentCheck connects to Buildium using an API key. You’ll create this key in Buildium first, then bring it into RentCheck to authorize the sync.

1. Log in to your Buildium account. In the bottom-left corner of the screen, click Settings > Developer Tools.

2. Make sure the API Keys tab is selected, then click Create API Key.

3. Give your key a recognizable name, something like RentCheck Integration works well. Before saving, confirm that the following permissions are enabled:

  • Rental (Rental properties and units, Leases, Tenants) - View

  • Maintenance (Vendors, WOs) - View

  • Documents (Files) - View and Edit

4. Once the key is created, copy both your Client ID and Client Secret and save them somewhere safe (like a notes app or password manager). You’ll need these in the next step.

💡 Heads up: Buildium will only show your Client Secret once. If you lose it, you’ll need to generate a new key.

Step 2: Enable the Buildium Sync in RentCheck

Once your API key is ready, head over to RentCheck to connect the two platforms.

1. In RentCheck, click your profile icon in the top-right corner and select Integrations.

2. Choose Buildium from the list of available integrations.

3. If you aren’t on the right plan yet, click Install and follow the checkout flow. This integration is only available on the Accelerate Plan (formerly Professional).

4. Click Install and enter the Client ID and Client Secret you generated in Buildium. Once entered, RentCheck will verify the credentials. You’ll see a confirmation when the connection is successful.

5. Your integration is now connected; all you have to do is configure your sync settings!

Enter your API credentials.

Step 3: Configure Your Data Sync Settings

This is where you’ll control exactly what syncs between Buildium and RentCheck. Completing these settings will kick off your first data sync and bring your properties, units, residents and leases into RentCheck.

Property Group Selection (Optional)

If you use property groups in Buildium and only want to sync particular property groups to RentCheck, then the property group selection can be used to only bring in data from selected property groups.

If you do not use Property Groups in Buildium, then you can leave this section blank and all of your properties (depending on the types you have selected) will sync to RentCheck.

Property Type Selection (Required)

All property types are selected by default. Please remove from the selection any property types which you do not want to sync to RentCheck. Only properties matching your selection will be added and kept up to date.

Team Assignment

Map your Buildium properties to RentCheck teams. This setting controls which team new units are assigned to as they’re added. If you use Buildium’s Property Group feature, each Property Group can be mapped to a specific RentCheck team. As new units are added to a Property Group in Buildium, the right RentCheck team is automatically updated.

Note: you will need to set a default team mapping even if you do not use property groups in Buildium

Buildium to RentCheck Unit Sync

Toggle this sync on. The Unit Sync pulls in new units from Buildium and keeps them up to date in RentCheck. On each daily sync cycle, new units are added and any updates to units in Buildium are updated in RentCheck with the latest information. If a unit doesn’t exist in RentCheck yet, it will be created automatically.

Buildium to RentCheck Building Sync

Toggle this sync on. The Building Sync keeps your building-level records aligned between Buildium and RentCheck on a daily basis. Existing buildings are updated on each sync, and new buildings are created in RentCheck as needed.

Buildium to RentCheck Resident Sync

Toggle this sync on. The Resident Sync imports your tenant and lease information from Buildium, including:

  • Current and future residents

  • Contact details (email address, phone number)

  • Key lease dates: lease start, lease end, move-in, and move-out dates

Lease information is updated at each sync based on the status or lease changes in Buildium.

RentCheck to Buildium Inspection Report Sync

Toggle this sync on. Once an inspection is completed in RentCheck, the PDF report is sent back to Buildium automatically at our twice daily syncs. Reports are uploaded to the property and unit pages for Building inspections, these are uploaded to the properties page and for unit inspections they are uploaded under the unit in the files section.

You can also decide on report destinations settings

Finally you will need to select a file category for uploading the inspection PDF reports to files in Buildium.

Quick tip: if you want to be able to quickly filter your inspection reports in Buildium, create a new category called ‘RentCheck Inspections’ so that you can quickly filter your files.

Turn Your Entire Integration Sync On

Once all settings are configured, click Save and Sync to activate your integration. Allow a few minutes for your unit and resident data to populate in RentCheck on the Properties and Residents pages.

Once your properties and residents are in, you’re all set to start creating and sending RentCheck inspections!

📝 Note: The initial sync may take several minutes depending on the volume of data in your Buildium account.

Deleted Property Restoration

If a property is deleted in RentCheck but is still active in Buildium, it may be automatically restored the next time your integration syncs.

Switch on the auto-restore setting in your Buildium data sync settings in RentCheck so that when a property is deactivated and reactivated in Buildium, it is restored in RentCheck.

Properties will not be auto-restored if they were deleted manually. This is because manually deleted properties are typically intentionally removed in RentCheck, so the sync will respect that and leave them out.

2. Inspection Reports in Buildium

RentCheck sends completed reports to Buildium automatically with our twice daily or instant manual syncs, including reports completed by residents.

Inspection Reports

An inspection report is the PDF summary that is generated when an inspection is completed in RentCheck. It captures everything recorded during the inspection, including the condition of each area, any flags or notes added, and photos taken.

Once an inspection is completed, the report is uploaded during one of our two daily syncs to Buildium. You do not need to do anything extra. On the file in Buildium underneath the file description, you will see the direct link to the inspection in RentCheck.

Where it goes in Buildium:

  • Unit inspections: uploaded to the unit page under Files and any active leases

  • Building inspections: uploaded to the property page under Files

Resident Inspection Reports

Every completed inspection PDF, including the ones residents complete themselves, is automatically attached to all active leases on the property. That way, the right documentation is always filed where you'd expect it, ready whenever you need to reference or share it.

Where it goes in Buildium:

  • The report is uploaded to the property or unit page under files

  • It is also attached to the resident lease files in Buildium, so the report is tied directly to their lease record

Building Reports

When a building inspection is completed in RentCheck, the PDF report is uploaded to the property page in Buildium under the Files section. Inspection reports are uploaded during one of our twice daily syncs but can also be manually synced to Buildium if needed sooner.

Unit Reports

When a unit inspection is completed in RentCheck, the report is uploaded to the unit page in Buildium under the Files section. If there is an active lease for the unit, the inspection PDF report is also sent to the lease files.

When Reports Are Sent

Reports are sent to Buildium at our twice daily syncs. If you need an inspection report sooner, you can always manually trigger a sync directly from the inspections page.
