Where You Can Use Videos
Fast-Track Inspections
Capture video while documenting rooms during fast-track inspections. This is particularly useful for:
Showing the overall condition of a room quickly
Documenting moving parts (ceiling fans, HVAC vents, windows)
Capturing issues that are difficult to show in a still photo
Providing context for overall room condition
Maintenance Flags
Add video documentation to any maintenance flag on any inspection type. Videos attached to maintenance flags help you:
Demonstrate how an issue manifests (leaking faucet, flickering lights, strange noises)
Show the extent of damage in more depth
Provide maintenance teams with better context before they arrive
How to Capture Videos
During a Fast-Track Inspection
Open the RentCheck mobile app and navigate to your fast-track inspection
When documenting a room, tap the media format selector
Choose Video from the options (Photo, 360 Photo, Video)
Position your device to capture the area you want to document
Tap the record button to start recording
Record up to 20 seconds of video
Tap the stop button to finish recording
Review your video and retake if needed
Continue through the rest of your inspection
Note: Videos are muted by default. To unmute, click on the mute icon button.
When Flagging Maintenance Issues
While conducting any inspection, tap Flag for Maintenance on the item needing repair
After selecting the maintenance skill, you'll see the media attachment section
Tap to add media and select Video as your media type
Record your video (up to 20 seconds)
Add any additional photos or information about the maintenance issue
Complete and save your maintenance flag
Tips for Recording Quality Videos
Hold your device steady for clearer footage
Use good lighting whenever possible—turn on lights or open blinds
Pan slowly if showing multiple aspects of an issue
Get close to the specific problem area when documenting maintenance
Record in landscape orientation for better viewing on desktop reports
Video Settings and Playback
Audio Settings
Videos are muted by default to protect privacy and reduce background noise. If audio is important for documenting a particular issue (such as unusual sounds from appliances), you can manually unmute videos when viewing them in the completed inspection report.
Video Length
Videos can be recorded for up to 20 seconds. This duration is designed to capture essential documentation while keeping file sizes manageable and uploads quick.
Viewing Videos
Once an inspection is submitted, videos are available in the completed inspection report:
Video thumbnails appear alongside photos in the report
Click any video thumbnail to play it in the viewer
Use the unmute button if you need to hear audio
Videos can be viewed on both mobile and desktop
Best Practices
When to Use Video vs. Photos
Use photos for: clear, static conditions; items that need detailed inspection; situations where you need to zoom in on details
Use video for: moving parts or mechanisms; issues that change or move; providing room-wide context; demonstrating how something functions (or malfunctions)
Documenting Maintenance Issues When flagging maintenance with video:
Start with a wide shot showing the location
Move in closer to show the specific issue
Demonstrate the problem if possible (turn on the faucet, flip the switch, etc.)
Consider adding still photos for additional detail
Managing File Sizes Videos will increase the size of your inspection reports. To manage this:
Use video selectively for items that truly benefit from motion documentation
Ensure you have adequate storage on your mobile device
Allow extra time for uploads when submitting inspections with multiple videos
