Setting up your Template

Sections

Templates include a section for every possible room or area that could be set on a property. This is to ensure that you remember to set up features and questions for a room/area that could be present at the property and included in an inspection for templates where All rooms and areas of a unit was selected.

A section will only be shown on an inspection if it contains a feature. Sections with zero features will not be shown on inspections created from the template.

Sections will be presented in the inspection in the same order listed on the template. You can drag and drop sections to adjust the order according to your preference.

You can also add additional custom sections to a template that are not connected to a specific room or area at a property. For example, you may want to add a section for Pets or Safety. A section manually added to a template will always be shown (as long as it has at least one feature) on an inspection irregardless of the rooms and areas set for the property.

Features

To add a feature you will need to:

  • Add a feature name

  • Add feature instructions (these are the instructions users will see when prompted to take photos for the feature)

  • Once a feature has been added a Settings gear icon will be displayed in a menu to the right of the feature name.

    Clicking on this icon will open a Settings window where you can adjust default feature settings including:

    • Feature condition rating: This controls whether users are required to enter a condition rating (Good, Fair, Poor) for the feature. It defaults to ‘On’. If set to ‘Off’ a rating prompt will not be visible for the feature in the inspection.

    • Number of photos required: This controls the minimum number of photos that must be taken for the feature to be saved in the inspection. This value defaults to 1.

    • Reference photo(s): One or more reference photos can also be added to help instruct the user on the type of photo you are looking for. If a reference photo(s) has been added, then a link to ‘See Example’ will be added to the end of the feature instructions. Clicking on this link will open the reference photos for the user to view.

Questions

One or more questions can also be added to a feature. Select the ‘Add Question’ icon from the Feature menu to add a question.

Four types of questions can be added:

  • Yes/No

  • Multiple choice: When adding a multiple choice question, you can designate it as ‘single-select’ or ‘multi-select’. Single-select means that only one option can be selected. Multi-select means that multiple options can be selected. In both cases, at least one option must be selected. As a best practice, add an option for ‘None of the above’ or similar to multi-select multiple choice questions.

  • Open text

  • Asset capture: Asset capture questions enable you to capture model and serial numbers for appliances and other products. A scan icon will be displayed next to these questions when performing an inspection. Tapping on the icon will open the camera view and instruct the user to take a photo of the appliance label. Using OCR technology, we will automatically capture model and serial numbers if possible. If the numbers aren’t able to be automatically captured, users can manually enter the correct values.

Questions will be presented in the same order listed on the template. You can drag and drop questions to adjust the order according to your preference.

Finished setting up features and questions for a given room and area and want to copy that same setup to additional rooms or sections?

We’ve got you covered! Click on the 3-dot menu in the Features column and select ‘Copy Features’. A window will open enabling you to select the sections you would like to copy the features to.

Additional bulk actions

  • Want to copy a feature within a section?

    • Simply select the ‘Clone feature’ icon in the Feature menu.

  • Want to copy a question?

    • Simply select the ‘Copy Question’ icon in the Question menu.

Create an Inspection with a Custom Template

Once your template has been published it will be available to select when creating inspections in RentCheck. The template name (external and internal) along with the template description will be displayed in a dropdown menu to select when creating inspections.
