Understanding the Inspection Details Page for Resident-Led Inspections

Learn how to navigate the Inspection Details page for resident inspections, track inspection progress, review completed inspections, request revisions, approve inspections, and use available review and management tools.

The Inspection Details page gives you an overview of an inspection, including its status, assignee, progress, timeline, and available actions.

The information and options shown on this page will change depending on whether the inspection is still in progress or has already been completed.

Before an Inspection Is Completed

When an inspection is Not Started, the Inspection Details page is primarily used to track the inspection's progress:


Inspection Details

At the top of the page, you can view important information about the inspection, including:

  • Inspection Template name: The type of inspection being completed, such as a Move-In Inspection. You can also add an inspection label from this area.

  • Address: The property associated with the inspection. Click the address to open the property page.

  • Assignee: The resident, teammate, or third party assigned to complete the inspection. Select the pencil icon to update the assignee.

  • Team: The RentCheck team associated with the property.

  • Due Date: The date the inspection is due. Select the pencil icon to update it.

  • Status: The current status of the inspection.

You can also use the Copy Link icon to copy a direct link to the inspection.


Manage Menu

Before an inspection has been started or completed, the Manage dropdown includes the following options:

  • View Inspection Timeline — Opens the inspection's full activity history

  • Archive — Archives the inspection

  • Delete — Deletes the inspection

  • Send Reminder — Sends a reminder to the assignee to complete the inspection

These options allow you to manage the inspection while it is still outstanding:


Inspection Progress

The Completed bar shows the percentage of the inspection that has been completed.

This can be especially helpful when checking the progress of an inspection that has been started but not yet submitted.

For example, an inspection showing 75% Completed means the assignee has completed approximately 75% of the inspection:


Sections

The Sections area displays the rooms and areas included in the inspection, such as:

  • Bedrooms

  • Bathrooms

  • Interior

  • Exterior

  • Kitchen

These sections match what the assignee sees while completing the inspection:


Timeline Events

The Timeline Events section provides a record of activity related to the inspection.

Depending on the inspection, timeline events may include:

  • Inspection created

  • Inspection requested

  • Reminder sent

  • Reminder SMS sent

  • Inspection completed

  • Inspection reopened

  • Revision requested

  • Revision request canceled

Each event includes information about when the action occurred and who performed it.


Email Delivery Statuses

For inspection invitations, the timeline can also show the delivery status of the email:

  • Sent — The inspection invitation email was sent to the resident.

  • Opened — The resident opened the invitation email. If the email was opened multiple times, you may see the number of opens, such as Opened 2x.

  • Dropped — The email could not be delivered to the recipient.

These statuses can help you determine whether an inspection invitation successfully reached the resident.


After an Inspection Is Completed

Once a resident or third party submits an inspection, the Inspection Details page shifts from tracking progress to reviewing the completed inspection.

You will also see additional review, filtering, and management options.


Completed Inspection Details

For completed inspections, the page displays information such as:

  • Address: The property associated with the inspection

  • Team: The RentCheck team associated with the property

  • Status: The current review status of the inspection

  • Date Completed: The date the inspection was submitted

  • Completed By: The person who completed the inspection

For resident and third-party inspections, you will also see an Approve button after an inspection is submitted that allows your team to approve the inspection.


Inspection Review Tools

A toolbar at the top of a completed inspection provides quick access to common review and reporting tools.

  • Revision Request — Select features that need to be updated and send them back to the resident or third party for revision.

  • Share Inspection — Share the completed inspection with someone else.

  • Copy Inspection Report PDF Link — Copies a link to the inspection report PDF so it can be shared without downloading the report first.

  • Download Inspection Report — Downloads a copy of the inspection report.

  • Unit Edit — Review rooms or areas that were updated by the person who completed the inspection. A number displayed on the Unit Edit icon indicates how many updates are available for review.


Unit Edits

Rooms and areas may be changed due to the information provided in an inspection (additional rooms that were added to a property). The Unit Edit tool allows you to review those changes and update the unit so future inspections remain accurate and consistent.

When reviewing unit edits:

  • Rooms marked Not Applicable can be removed from the unit.

  • Rooms added during the inspection can be added to the unit.

Review these changes before updating the unit to make sure its room and area setup reflects the property correctly.


List View and Media View

You can switch between two views while reviewing a completed inspection:

  • List View — Displays the inspection by section and feature, making it easier to review ratings, notes, and other inspection details.

  • Media View — Focuses on the photos and other media captured during the inspection, making it easier to review inspection images.

Use the view that works best for what you need to review. You can switch between them at any time.

The List View and Media View icons are shown in the Inspection Review toolbar above, so an additional screenshot is not necessary here.


Manage Menu When Awaiting Review

When an inspection is in Awaiting Review, the Manage dropdown includes additional options:

  • Compare Inspections — Compare the inspection against another inspection for the same property

  • View Inspection Timeline — Open the inspection's full activity history

  • Archive — Archive the inspection

  • Download Images (PDF) — Download the inspection images as a PDF

  • Download Images (Zip file) — Download the inspection images as a ZIP file

  • Request Signatures — Send a signature request for the inspection

These options give you additional tools for reviewing, comparing, downloading, and managing the inspection after it has been submitted.


Filtering a Completed Inspection

Completed inspections include filters that make it easier to find specific features without scrolling through the entire inspection.

You can filter by:

  • Poor: Features rated Poor

  • Fair: Features rated Fair

  • Good: Features rated Good

  • Media: Features containing photos or other media

  • N/A: Features marked Not Applicable

  • Notes: Features containing notes

Select a filter to display only the features matching that criteria.


AI Damage Assist

For eligible accounts on RentCheck's Professional or Accelerate plan, the AI Damage Assist button allows you to run AI Damage Assist on the inspection:

AI Damage Assist reviews inspection photos for visible signs of potential damage and flags areas that may need additional review.

If potential damage is detected, an AI Damage filter will appear, allowing you to quickly review flagged features.

From there, you can use the AI Damage Assist flags to create maintenance flags in one click or dismiss items that do not require action. This tool provides an additional layer of support to help identify potential maintenance needs while giving you full control over what gets flagged.


Approving an Inspection

Resident and third-party inspections can be reviewed and approved from the Inspection Details page.

To approve an inspection:

  1. Select Approve.

  2. Review or update your digital signature.

  3. Add an optional note for the resident.

  4. If prompted, choose whether to update the property's unit details based on changes made during the inspection.

  5. Complete the approval.

If you include a note, it will be included in the resident's approval email.


Requesting Revisions

If something needs to be updated before you approve the inspection, you can request a revision.

Individual features can be selected for revision while reviewing the inspection.

Once the features have been selected:

  1. Select Revision.

  2. Review the features included in the revision request.

  3. Choose a due date.

  4. Submit the revision request.

The inspection will reopen for the resident or third party, and the requested features will be highlighted in the RentCheck mobile app.

They will also receive an email explaining which features need to be updated.

Revision reminders are sent:

  • One day before the due date

  • On the due date

  • One day after the due date

Once the requested updates have been submitted, the inspection will return to your team for review.


Inspection Statuses

Not Started

The inspection has been assigned but has not yet been started.

For resident or third-party inspections, the recipient has accepted the invitation but has not begun completing the inspection.

Started

The assignee has opened the inspection and started completing it, but the inspection has not yet been submitted.

Awaiting Review

The resident or third party has completed and submitted the inspection.

The inspection is ready for the property management team to review.

Revision Requested

The inspection was submitted, reviewed, and sent back to the resident or third party with one or more requested revisions.

Approved

The inspection has been completed, reviewed, and approved by a member of the property management team.

Completed

The inspection was completed by you or another internal team member.

Internal inspections do not require the same approval process as resident or third-party inspections.
