Understanding the Inspection Details Page for Internal Inspections

The Inspection Details page gives you an overview of an internal inspection, including its status, progress, uploaded media, inspection details, and available actions.

The information and options shown on this page change depending on whether the inspection is still in progress or has been completed.


Before an Internal Inspection has been Completed

When an internal inspection is Not Started or Started, the Inspection Details page can be used to view inspection details and monitor progress:


Inspection Details

At the top of the page, you can view important information about the inspection, including:

  • Inspection Type: The type of inspection being completed, such as a Move-out Inspection. You can also add an inspection label from this area.

  • Address: The RentCheck property associated with the inspection. Select the address to open the property page.

  • Assignee: The teammate or team assigned to complete the inspection.

  • Team: The RentCheck team associated with the property.

  • Due Date: The date the inspection is due. Select the edit icon to update it.

  • Status: The current status of the inspection.

You can also use the Copy Link icon to copy a direct link to the inspection.


Manage Menu

Before an internal inspection has been completed, the Manage dropdown includes:

  • View Inspection Timeline — Opens the inspection's full activity history

  • Archive — Archives the inspection

  • Delete — Deletes the inspection

The options available from the Manage menu change once the inspection has been completed.


Viewing Images While an Inspection Is in Progress

For internal inspections, photos and other uploaded media become visible on the Inspection Details page as they are added during the inspection.

This feature allows your team to view images and to monitor the inspection while a teammate is still performing it:

This functionality works differently from resident-led inspections. When a resident or third-party is performing an inspection, the property management team cannot view the inspection photos while the inspection is still in progress. Those images become available after the resident or third-party submits the inspection.


Inspection Sections

Below the inspection details, you can view the rooms, areas, and features included in the inspection. As the inspection is completed, information added to each feature can appear here, including:

  • Images

  • Notes

  • Ratings

  • Features marked Not Applicable

You can also use Expand Details to view additional information for the inspection's rooms and features.


After an Internal Inspection has been Completed

Once you or another member of your team finishes an internal inspection, its status changes to Completed.

Internal inspections do not move into Awaiting Review and do not require the same approval process as resident-led or third-party performed inspections. Once completed, the inspection is immediately available for your team to review and manage:


Completed Inspection Details

Once the inspection has been completed, some of the information at the top of the page changes. You will see:

  • Address: The property associated with the inspection

  • Team: The RentCheck team associated with the property

  • Status: Displays Completed

  • Date Completed: The date the inspection was completed

  • Completed By: The teammate who completed the inspection


Inspection Tools

A toolbar at the top of the completed inspection provides quick access to common review and reporting tools:

The available tools include:

  • Share Inspection — Share the completed inspection with someone else.

  • Copy Inspection Report PDF Link — Copy a link to the inspection report PDF.

  • Download Inspection Report — Download the completed inspection report.

  • List View — Review the inspection by room and feature.

  • Media View — Review the photos and other media captured during the inspection.

List View and Media View

You can switch between two views when reviewing a completed inspection:

  • List View — Displays the inspection by room, area, and feature, making it easy to review ratings, notes, images, and other inspection details.

  • Media View — Focuses on the photos and other media captured during the inspection.

You can switch between these views at any time.


Manage Menu for a Completed Internal Inspection

Once an internal inspection has been completed, additional options become available from the Manage dropdown.

The Manage menu includes:

  • Compare Inspections — Compare the completed inspection with another inspection for the same property

  • View Inspection Timeline — Open the inspection's full activity history

  • Archive — Archive the inspection

  • Re-open Inspection — Reopen the completed inspection

  • Download Images (PDF) — Download the inspection images as a PDF

  • Download Images (Zip file) — Download the inspection images as a Zip file

  • Download Maintenance Flags — Download the maintenance flags associated with the inspection

  • Request Signatures — Send a request for signatures on the inspection

  • Create Maintenance Report — Create a maintenance report using information from the inspection


Filtering a Completed Inspection

The filter bar makes it easier to find specific features without scrolling through the entire inspection.

You can filter by:

  • Poor: Features rated Poor

  • Fair: Features rated Fair

  • Good: Features rated Good

  • Media: Features containing photos or other media

  • N/A: Features marked Not Applicable

  • Notes: Features containing notes

The number displayed next to each filter shows how many features match that criterion. For example, if the Fair filter shows 2, two features in the inspection received a Fair rating.


AI Damage Assist

For eligible accounts on RentCheck's Professional or Accelerate plan, the AI Damage Assist button allows you to run AI Damage Assist on the inspection:

AI Damage Assist reviews inspection photos for visible signs of potential damage and flags areas that may need additional review.

If potential damage is detected, an AI Damage filter will appear, allowing you to quickly review flagged features.

From there, you can use the AI Damage Assist flags to create maintenance flags in one click or dismiss items that do not require action. This tool provides an additional layer of support to help identify potential maintenance needs while giving you full control over what gets flagged.


Maintenance Flags

Features that may require maintenance can be flagged from the completed inspection.

When maintenance flags are present, you can review the flagged features directly from the Inspection Details page.

Additional options are also available from the Manage dropdown, including:

  • Download Maintenance Flags

  • Create Maintenance Report

These tools can help you organize and share maintenance items identified during the inspection.


Inspection Statuses

Not Started

The internal inspection has been created but has not yet been started.

Started

You or another teammate has opened the inspection and begun completing it, but the inspection has not yet been finished.

While an internal inspection is Started, uploaded images and other inspection information can be viewed from the Inspection Details page as they are added.

Completed

The inspection was completed by you or another internal teammate.

Internal inspections do not require the review and approval process used for resident-led or third-party performed inspections.
