Step-by-step walkthrough of how to leverage your PMS integration with RentCheck to submit work orders.

Work orders are an integral part of the property management process. We want to make sure our users are clear on how to make the most of them.


What PMS does RentCheck currently integrate with to create work orders?

RentCheck currently integrates with three Property Management Systems for work orders:

  • AppFolio

  • Rent Manager

  • Latchel

Integrations with one of these Property Management Systems must be in place in order to create work order. If your account does not currently support a PMS integration, you will be unable to create work orders. The team is working on integrating with Buildium by 2025.

How do I enable a work order integrations with my PMS?

In your PMS data sync settings, please ensure the "Work Order Sync" is set to green.

Do I create work orders via mobile or via the web app?

Work orders can be created both via the mobile app and the web app.

How do I create work orders via the web app?

To create an AppFolio work order from the RentCheck web app, follow these steps:

  1. Open an inspection with a status of "Completed" or "Awaiting Review."

  2. On the Inspection Details page, click "View X flags.

  3. From the Flags page, find the "Create" button and select "Create AppFolio work order" from the dropdown. Note that a work order is not automatically created after completing a RentCheck inspection. You will still have to follow the steps above and select "Create AppFolio work order" to kickoff the process.

  4. The next popup will lead you to the details of the work order to be created. Make sure everything looks right here, taking note of questions that ask for the "Job Description" and "Permission to Enter".

5. If you'd like to review the pictures that will be added to the work order in AppFolio or any other PMS, select on the eye icon next to the flags.

6. This will re-open the flag you initially created. To see which pictures will be sent to AppFolio, select "Attach Media". You can select on the flag icon if you'd like to remove the picture from being sent in the work order.

7. If everything looks good, select the "X" at the top of the flag details pop-up and return to the work order. Click "Create" to send your work order to AppFolio or any other PMS. Work orders automatically sync to your PMS upon creation.

Note that if you would only like to create a work order in your PMS for only one room or a subset of rooms that were flagged, you can select the room(s) using the checkbox in the left hand side and repeat the steps above.


How do I create a work order via the mobile app?

Work orders can now be created in one go at the end of your inspection on the mobile app.

  1. Flag items for maintenance and make sure to select "Save"

  2. Successfully complete your inspection and press "Submit." A new window will popup prompting you to "Create a Work Order" based on the flags you created during the inspection.

  3. Click on the eye icon to re-open the flag. You can edit the Notes and add Internal Notes for you and your team. You can also see which pictures will be attached/sent in the work order to your PMS by selecting "Attach Media" and viewing the dropdown.

  4. Once everything looks right, select "Create".
