Managing Teams and Portfolios in RentCheck

Set up your team, invite teammates, and organize your portfolio

In RentCheck, managing teams is a convenient way to organize your property portfolio, segment your properties, and streamline your inspection management process. This guide will walk you through all the needed steps!

Step 1: Accessing Teams

To get started, click on your profile icon located at the top right corner of the screen. It's the blue bubble with your initials in it. From there, you will select Teams:

Step 2: Navigating to Teams

Once you click on the Teams, you'll find a list of all the teams that you have access to. This includes teams that you manage as the admin or main user.

Step 3: Creating a New Team

  • To create a new team, select the "Add Team" button.

  • Enter the name of the company for external use. This name will be visible to residents when you send out inspections.

  • Provide an internal label for your reference and for your team.

  • If you have a team logo, you can upload it from your computer. (You can also add this later.)

  • Click "Complete Team" to create the team.

  • Note that there are no limits on the number of members you can add to your team, allowing for flexibility in scaling.

Step 4: Delete a team

If you no longer need a team in your account, you can delete it from your profile menu. Before deleting a team, make sure all units, buildings, and communities have been moved to another team. A team cannot be deleted if anything is still assigned to it:

Steps to Delete a Team

  1. Click your initials icon in the top right corner of the dashboard

  2. Select Teams from the dropdown menu

  3. Choose the team you want to delete

  4. Click Delete

  5. A confirmation screen will appear. Review the message, then select Delete Team to finalize the removal

Once confirmed, the team will be permanently deleted and cannot be recovered.

Step 5: Inviting Team Members

  • By default, you will be the only member of the new team.

  • To invite additional team members, click on the "Invite Teammate" button.

  • Enter your teammate's email to send them an invitation.

  • If you encounter issues with permissions while inviting members, ensure your Admin role is active.

Step 5: Managing Invitations

  • You can invite as many people as you need and create multiple teams.

  • You can also add teammates to multiple teams at once.

  • After you send an invite, go to the "Invites" tab and view the sent invitations along with the date they were delivered.

  • You can send reminders and change the user's role at any time.

  • If a team member does not receive an invite, verify their email address and re-send. You can also contact RentCheck support for further assistance.

Step 6: Team Member Roles

RentCheck offers two main roles: Admin and Manager. Admins are granted full access to manage properties, team assignments, and settings. Managers are given limited access to specific teams, which is ideal for teammates who need restricted permissions while contributing effectively to team tasks.

  • Admins can manage teams and move units between teams.

  • Managers have access to a specific team and its properties, but cannot manage teams.

Step 7: Unit Management

  • To reassign units between teams, go to the "Properties" section.

  • Select the units you want to move and use the "Actions" button.

  • Choose "Reassign Team" and select the destination team.

  • Simplify collaboration and inspection management within specific teams.
