Best Practices for ensuring a successful rollout of your RentCheck inspection process.

Change management can always present a few challenges when it comes to adopting a new process (let alone when it's a mixture of both internal team members and customers that are involved). We'll cover some of the best tips and practices that we've learned over the years below to help ensure a successful adoption with your RentCheck partnership:

Communicating with your team and residents

It's important to start sharing a clear and concise message as early as possible with all parties involved within your RentCheck inspection process.

Start with the 'why'! Residents and team members will adopt new processes easier and faster when they understand why these changes are better for everyone. Here are some examples of the benefits our customers have used with their team and residents.

Resident benefits:
When conducting inspections yourself you can take note of details that might be missed by someone else that does not spend as much time in the space.

With resident inspections, you do not have to coordinate and have others in your space as often as with traditional property management processes.

Residents will have access to the inspections they perform themselves. This comes in handy when documenting your space over time and can even be used for rental insurance and future documentation.

Explain a clear summary of what the expectation is of them,
Communicate a timeline or next step that they should be aware of.


Here are some examples of this below:

  • Internal Team Sample - We're excited to be partnering with RentCheck to improve our property inspection process. Through our new platform we'll be able to easily store, track, and request resident lead inspections. This will help us identify preventable maintenance items faster, all while saving time and increasing resident satisfaction. You should expect a team invite within your inbox within the next __ days with your next steps accessing your account.

  • Resident Sample - We're excited to be partnering with RentCheck to improve our property inspection process. Their platform allows you to easily document the condition of your residence at your own convenience. You should expect an inspection invite within the next __ day(s) and will have up to 2 weeks to be able to perform the inspection.

  • Property Owner Sample - We're excited to be partnering with RentCheck to improve our property inspection process. Their platform allows us to gain more visibility, more frequently to ensure the care of your properties. We’ll be forwarding you copies of these inspections once completed in the next __ weeks.

Sample Lease Language

"This lease verbiage is typically put in the main contract of the lease agreement under the Special Provision(s) and “What If” Clauses. RentCheck Holdings Inc, is a 3rd party vendor that is used for property inspections. It's purpose is to ensure that monetary assessments are assigned fairly by both the Resident(s) and Landlord in regards to the physical wellbeing of the dwelling. The Landlord requires that the inspections listed and those not listed but assigned during tenancy be completed within the expressed deadline set by the Landlord or the Resident(s) could be submitted to a lease violation or fine schedule unless express written permission from the landlord is given prior to the deadline. Inspections can include but are not limited to move ins, move out, annual, periodic, exterior, and maintenance."
